AI automation · North Idaho and Spokane An assistant that answers your customers when you can’t, and hands them to you when it should

AI automation answers and follows up with customers for you: it replies to website chat at 11 pm, texts back the calls you miss, chases open quotes and books appointments. We set it up in your voice from Athol, Idaho, and every conversation lands in one inbox you answer from your phone.

    The short answer

What does AI automation do for a local business?

It handles the first reply and the follow-up that slip when you’re on a job. A chat assistant answers website questions with your real services, hours and service area, and missed calls get a text back. Open quotes, reminders and review requests go out on a schedule, and anything it can’t answer comes to you.

Most of what we set up isn’t a chatbot at all. It’s timed messages that stop the moment a customer replies, so nobody gets chased after they’ve answered. The AI part is the piece that talks back, and we keep it on a short leash.

All of it runs inside the Growth System, our website plus the follow-up behind it, set up and run for you.

What AI automation sets up: timed messages for missed-call text back, quote follow-up, booking reminders and review requests that stop when the customer replies, plus a chat assistant that answers with your services, hours and service area, and anything else sent to you in one inbox

    What it handles

Nine jobs it takes off your plate

Each one is written with you before it goes live, and each one stops when a customer replies or books.

    After-hours website chat

A chat assistant on your website answers common questions with your services, hours and service area, then offers to book or take a number.

Missed-call text back icon: a phone with an incoming arrow

    Missed-call text back

Every call you can’t answer gets a text from your business within about a minute, with an after-hours version and one follow-up.

Instant reply icon: a lightning bolt

    Instant reply to new leads

Website forms and quote requests get a reply by text and email within a minute, then follow-ups until they answer or book.

Quote follow-up icon: a document with a clock

    Quote follow-up

Sent quotes get a friendly check-in on day 2, 5 and 10, so they stop going quiet. Any reply ends the sequence.

Booking and reminders icon: a calendar with a check mark

    Booking and reminders

Customers book from a link, get a reminder the day before and 2 hours before, and confirm or reschedule by reply. A no-show gets a rebooking link.

    Review request icon: a star

    Review requests

A Google review request after every paid job, with one reminder. A 1 to 3 star review alerts you right away with a same-day reply task.

Lead routing icon: one arrow splitting into two

    Lead routing

Urgent jobs, ready-to-book estimates and early researchers are sorted apart, and the right person gets the alert.

    Past-customer win-back icon: a clock with a circular arrow

    Past-customer win-back

One friendly check-in to customers who opted in and haven’t been back in a while. Replies land in your inbox as bookings to make.

    A monthly report

On the 1st: new leads, booked jobs, reviews and where the work came from, in plain English.

    AI receptionist

Can an AI receptionist answer my phone?

Yes, if you want it to. A voice assistant answers the calls you can’t get to, using your services, hours and prices, and books the visit when your calendar has room. After the call it texts you a summary, and anyone who asks for a person gets a callback task marked urgent for you.

    What we set up

    • Its knowledge, written from your website and checked by you
    • A clear rule for when it passes the caller to you
    • A greeting that says the call may be recorded, since Washington requires both sides to agree
    • A summary to you after every call it handles
    Incoming call0:00

Example call, shown as captions. Your assistant answers in a natural voice with your services, hours and prices, and transfers to you whenever a caller asks or it should.

A website chat where a customer asks for a refund, the assistant says it is passing the conversation to the owner and stops replying, and the owner gets an alert with an Open conversation button; it hands off when someone asks for a person, has a complaint, wants a refund or asks what it can’t answer

      Honest limits

What AI should not answer, and when it hands off to a person

An assistant is good at the questions you answer 10 times a week. It is bad at judgment calls, so we write it to stop and get you instead of guessing.

      What it won’t do

      • Promise a price beyond the ranges you give it. A firm number comes from you.
      • Diagnose the problem. It can ask whether water is overflowing; it can’t tell a customer what’s wrong with their furnace.
      • Handle a complaint or refund. Those words pass the conversation straight to you.
      • Make something up. When it isn’t sure, it says it will get the owner, and it does.

      How the handoff works

When a visitor asks for a person, or mentions a complaint or a refund, the assistant tells them you’ll be in touch and stops replying. You get an alert to open the conversation, and the customer never argues with a bot.

      You see every conversation

Website chat, texts, Facebook, Instagram and Google messages all land in one inbox on your phone. You can read what the assistant said, step in mid-conversation or turn it off for one customer.

      How we set it up

Set up for you in four steps

      Step 1

      A short call

We learn how calls and messages reach you today and tell you honestly which pieces are worth automating.

      Step 2

      Your answers, in writing

Your services, towns, hours, price ranges and the questions customers ask, plus what the assistant must never answer.

      Step 3

      We build and test it

We write every message with you, connect it to your phone and calendar, and test each one with a made-up customer.

      Step 4

      We walk you through it

We show you the inbox and how to step in. Then it runs, and we read the conversations and adjust what it says.

Work Well Massage books and asks for reviews on its own

Work Well Massage, a massage practice in Athol, takes bookings online day or night and sells gift certificates from its website. We connected its booking, a point-of-sale system and an automated review follow-up that asks every client for a Google review after their visit.

In October 2026 its Reviews page showed 5 stars from 19 Google reviews. None of that needed a chatbot, which is the point: automate the follow-up first, and add AI where people are asking questions. Read the Work Well case study.

The Growth System as one package: a fast mobile-first website, a Google Business Profile and a monthly report, around the AI automation pieces of missed-call text back, one inbox, lead and quote follow-up, reminders and review requests

      Where this fits

AI automation or the Growth System?

This page covers the pieces that answer and follow up on their own. The Growth System is the whole package, run together for you:

      • A fast, mobile-first website built to be found locally
      • Your Google Business Profile set up and kept consistent
      • The text-back, inbox, follow-up, reminders and review requests on this page
      • A plain-English report on the 1st of every month

If your site is slow or hard to use on a phone, start with the Growth System or a managed website, because no assistant fixes a page people leave. If your website already works, ask us on the call whether the automations can connect to it.

      Cost and timing

      What does AI automation cost?

It depends on which jobs you want handled and whether we’re building your website too. Most businesses get it as part of the Growth System, and we give you the price on the first call, before you commit to anything.

      When can it start?

Website chat and email follow-up can run as soon as they’re written and tested. Texting from your business number waits on carrier registration for business texting, which each business needs approved before texts can send. We start that on day one and tell you where it stands.

When AI automation can start: website chat and email follow-up run once written and tested, while texts from your business number wait on carrier approval, with registration started on day one

      Questions

      Common questions

Will customers know they’re talking to AI?

Yes. We set it up to introduce itself as your virtual assistant, and it passes the conversation to you whenever someone asks for a person.

What happens when the assistant doesn’t know the answer?

It tells the customer it will get the owner, stops replying and sends you an alert. You pick up the conversation from the same inbox, with everything already said in front of you.

Is a missed-call text back the same as an AI chatbot?

No. A missed-call text back is a message written with you that goes out within about a minute of a call you couldn’t answer. The chat assistant is the part that answers questions. Most businesses start with the text back.

Can it book appointments on my calendar?

Yes. Bookings, reminders and reschedules connect to your calendar, so the assistant only offers times you actually have open.

Will the messages sound like a robot?

No. We write them with you, in your voice, and you see every one before it goes live. We read the conversations afterward and adjust what it says.

Does it work with the software I already use?

Often, yes. Forms, calendars and booking tools can usually be connected; see system integrations. We’ll tell you on the first call if something you use can’t be.

      Who gets the texts?

Only people who called or contacted you, or agreed to hear from you. Every text lets them reply STOP to opt out.
